FREQUENTLY ASKED QUESTIONS

When should I plan to arrive and leave?
Plan to arrive on the first day in time for registration, which is open from noon to 2:30 p.m. CST, as the welcome session begins at 3:00 p.m. CST.

Departures to the airport will take place from the Varsity Yearbook plant and should be scheduled after 1:00 p.m. CST. It’s recommended to select a departure time no earlier than 3:00 p.m. CST to allow for travel.

How does the Early Bird deadline work?
You must register online by May 9. Payment must be received by June 30.

What does the registration fee include?
Registration fee includes: access to all sessions, workshop materials and seven meals. As a gift for our inaugural year, a two-night hotel stay during July 21-23 is covered by Varsity Yearbook.

What are my payment options?
At this time, payment must be submitted via check. If your school requires a purchase order, complete the online registration and use your confirmation email as an invoice to request a check from your school.

Please register and select “Request Other Payment Option” to connect with us regarding additional payment options available in certain circumstances.

Where do I send my payment?
Mail checks and a copy of your confirmation email to the following address. Payment and a copy of your confirmation email must be postmarked by Monday, June 30.

Please print or save your confirmation email and include a copy with your payment. If your school requires a purchase order, complete the online registration and print your confirmation email as an invoice to request a check from your school.

What if I can’t pay by June 30?
All payments are due June 30, 2025 unless you contact Varsity Yearbook at ybk@varsity.com to arrange a special solution or receive an extension.

What should I wear?
Attire is business casual. Events will take place indoors, but please plan attire accordingly.

Should I bring my laptop?
Yes! Sessions and hands-on eDesign training will require a laptop.

How do I make changes to my registration?
To make changes to your registration, please contact Varsity Yearbook at ybk@varsity.com.

How do I cancel my registration?
To cancel your registration, please contact Varsity Yearbook at ybk@varsity.com. Cancellations before June 30 will be fully refunded. Cancellations after June 30 will not be refunded.

How do I notify someone about special accommodations or dietary requirements?
During registration, you will have the opportunity to enter any special accommodation or dietary requests. We will then inform the hotel of your needs.

Will I be able to get Professional Development hours through this workshop?
This workshop is an excellent opportunity to add to your PD hours for recertification and to satisfy your local development requirements.

We will provide each participant with a certificate of completion following the workshop. The certificate will include the number of contact hours, which we estimate to be 16. (We will update this as the agenda is solidified.) Unfortunately, no college/university credit or affiliation will be offered alongside these hours.
