HJ eShare allows you to gather both candid photos and portraits from anyone in your school community. Setup takes just a few minutes. If you’ve already started using eShare this year, just follow the steps below to begin collecting portraits.

Easy EShare Setup

1. Log into MyHJYearbook and go to Transfer and Get Images from eShare.

2. Click on the Preferences button on the right. On the second preference screen, set your School Code. It is case-sensitive and unique to your school. Consider making it something easy for parents and students to remember, such as bulldogpix or cougarpride.

3. Set your Start Date. The End Date is optional.

4. Step 4 allows you to add the Portrait Upload
button and customize the guidelines for submitting. Again, you may leave the due date blank, if you’d like.

5. Designate the email you’d like to receive notifications. You’ll just get one email each morning about the images uploaded the previous day.

6. On the final Preferences screen, you’ll see a direct link to eShare. Right-click and copy that link.

7. Promote HJeShare.com to parents, students and anyone else you’d like to submit photos. Use the direct link and/or HJeShare.com along with your school code.

Tip: On the sixth screen you can download social media badges and use them to promote portrait collection. They automatically download.

Now, you’re ready to accept portraits

  • Go to HJeShare as if you were a user and enter you school code. You should see a new green button and it will reflect the due date you set.
  • Remember that you can accept photos now, and you will get daily updates on any photos that have been submitted. You can review and download candids and portraits at your convenience.

Promote like crazy

  • Use the selfie portraits flyer (in English and Spanish) to promote your portrait collection. It’s an editable PDF, so you can add a deadline, your school name and access code.
  • Follow this link for a video explaining the submission process to parents. You can download it or link to it.
  • Post on Social Media and include all of the information in your school newsletter. Make sure to give parents/students a deadline for submission.
  • Especially if this will be your main method of creating portrait pages, consider asking your principal to make special announcements and automated phone calls.
  • We recommend keeping master lists of students and checking off submitted photos. Once the deadline passes, it may be a good idea to seek out students with no photo and take quick snapshots. Also, this master list will help you make the “not pictured list” once all deadlines have passed.

More tips and tricks about using EShare
to collect candid photos

  • Whenever you transfer new photos to eDesign, have your staffers go into your candids library and tag the new photos. Use the eShare Candids filter to identify the images from eShare.
  • Decide ahead of time what specific topics you want your “freelance photographers” to cover. Add those topics to eDesign so that you can quickly tag the photos right after you download them.
  • Come up with monthly photo challenges and promote them to parents, perhaps including a yearbook discount or another incentive to increase participation. Any time you can provide specific requests, you are more likely to get results.
  • Combine your efforts with our Content Creators. If you haven’t seen them, you’re missing out! Download ideas and social media graphics here.
  • Promote eShare using any online platform your parents are using. Does your school have parent Facebook groups or Twitter accounts? How about weekly newsletters? Those are perfect!
